eSigning

Pocketlaw’s eSigning feature integrates secure and compliant digital signing directly into your contract workflow. Whether drafting contracts within Pocketlaw or uploading third-party documents, eSigning ensures a seamless and efficient signing process.

Adding Signing Parties

  1. Open the contract and select eSigning.

  2. Add the names and email addresses of signing parties.

  3. Assign roles:

    • Signing Parties: Required to sign the document.
    • Non-Signing Parties: Receive a signed PDF copy once the process is complete.
  4. Choose the authentication method for each party:

    • Simple Signing
    • Svenskt Bank-ID (Swedish Bank ID)
    • MitID (Danish Bank ID)
    • Norskt BankID (Norwegian Bank ID)
    • Smart-ID (e-signing for the Baltic countries)

Setting Signing Order

  • Enable Signing Order to ensure that signatures are collected in a specific sequence.
  • Rearrange the signing order within the eSigning interface as needed.

Sending and Monitoring Signatures

  • Send the document for signing, and Pocketlaw will automatically notify all signing parties.
  • Track the progress of signatures in real time via the eSigning activity tab within the document, where you can see actions such as when a recipient has opened the document.
  • Automatic reminders are sent every 6 days to parties who haven’t signed, with an option to send manual reminders if necessary.

Finalizing the Process

  • Once all required signatures are collected, the signed document is finalized and securely stored in Pocketlaw.
  • Signed PDF copies are automatically distributed to all parties.

Advanced eSigning Features

  • Custom Messages: Add personalized messages for each signing party during the signing process.
  • Real-Time Status Updates: Monitor when each party has accessed, opened, or signed the document.
  • Multi-Party Support: Include up to 50 participants in a single signing workflow, including both signing and non-signing parties.

Integrations with Scrive and DocuSign

Pocketlaw integrates with popular third-party eSigning tools to accommodate your organization’s needs:

    • Scrive: Supports Bank ID authentication for high-security contracts.
    • DocuSign: Offers simple e-signatures via email, ideal for users familiar with the DocuSign platform.

8. Streamlining Approvals

Ensure compliance and maintain control with Pocketlaw’s Approval Workflows, which allow you to assign trusted approvers to specific contract templates.

Assigning Approvers

  • Go to the Templates section and select the desired template.
  • Click the three dots (…) and choose Approval Workflow.
  • Assign approvers and define rules, such as requiring approval from all assigned approvers or just one.

Managing Approvals

  • Any changes made to a document during the approval process will cancel the existing approval and require a new request.
  • Notifications are automatically sent via email when documents are approved or rejected, keeping all stakeholders informed.
