Managing Access Levels & Permissions

Properly managing user roles and permissions in Pocketlaw ensures security, compliance, and seamless collaboration while maintaining control over sensitive documents.

Understanding Access Levels & Permissions

Each user role has different permissions to ensure proper control over content and settings:

Owner

  • Full access to all settings, user management, and content.

  • Can invite and remove users, manage access levels, and modify company settings.

Admin

  • Can create, edit, and manage their own content.

  • Needs explicit permission to access others’ documents.

  • Can invite new users, edit folders, and create teams.

User

  • Can only view and edit their own uploaded or shared content.

  • Needs explicit permission to access others’ documents.

  • Cannot invite other users or manage settings.

  • Cannot save files into the main folder.

📌 Tip: Limit Owner access to trusted individuals to prevent unauthorized changes.


Managing File & Folder Access

Pocketlaw provides flexible and secure file and folder permissions, ensuring users can access the right documents while maintaining data security and compliance.

Granting Access to Files & Templates

  1. Locate the file, template, or folder you want to manage.

  2. Click the three dots (…) next to it and select Manage Access.

  3. Click + to grant access to specific users or teams.

📌 Tip: If certain templates require mandatory signers, you can set Required Signatories to ensure compliance.


Managing Folder & Draft Access

Folder permissions allow you to control document visibility at different levels. Any user with access to a folder (either individually or via their team) will see all content inside it, including drafts.

Full Folder Access
Users with full access can:

  • Add files and subfolders

  • Edit content (including drafts)

  • Collaborate freely within the folder

  • Best for teams managing contracts together.

Restricted Access
Users can be granted access only to specific subfolders or files.

  • They will see the main folder name but cannot open its other contents without explicit permission.

  • Ideal for limiting access to confidential or department-specific documents.

📌 Tip: Assigning access via teams, rather than individuals, makes it easier to manage permissions and ensures that everyone in a team can collaborate on the same drafts and documents.


Best Practices for Managing Access & Permissions

  • Use Teams for Access Management - Assign folder access to teams instead of individuals to streamline permissions.

  • Restrict Access to Sensitive Files - Use Restricted Access to prevent unauthorized document access.

  • Review Permissions Regularly - Periodically audit user roles and access settings to ensure they align with current business needs.

  • Ensure Compliance with Required Signatories - If a contract requires specific signers, configure Required Signatories at the template level.
